Location: Sacramento, CA.

The California Council for Affordable Housing (CCAH) is seeking an Executive Admin to the Executive Director. The Executive Administrative Assistant will provide high-level administrative support to the Executive Director of CCAH, including calendar and travel management, meeting coordination, organization of correspondence and appointments and the successful candidate will play a key role in the planning and execution of the organization’s twice-annual conferences and other events. This is a dynamic role that combines traditional executive support duties with hands-on event coordination responsibilities. Additionally, this role will assist the CCAH policy manager where needed. This position offers the opportunity to work at the intersection of policy, community development, and affordable housing advocacy, making a meaningful impact on housing solutions in California. This role may start on a contract and is expected to transition to full time by summer 2025.

Key Responsibilities

Executive Support

  • Provide daily administrative support to the Executive Director, including calendar management, travel coordination, email correspondence, and document preparation.
  • Coordinate meetings, prepare agendas, take meeting minutes, and manage follow-up tasks.
  • Assist with internal and external communications, including drafting and editing correspondence, presentations, and reports.
  • Maintain organized filing systems (digital and physical) and ensure timely information flow.
  • Track deadlines and assist in the completion of projects on schedule.

Event, Conference and Legislative Support

  • Assist in planning, organizing, and executing CCAH’s two major annual conferences, including managing timelines, logistics, vendor coordination, and on-site support.
  • Coordinate event registrations, communications, and materials.
  • Liaise with speakers, sponsors, venues, and other stakeholders to ensure seamless execution.
  • Assists in the development of promotional content and outreach for events in collaboration with staff or contractors.
  • Provide post-event support, including evaluation summaries and reports.
  • Supports member advocacy events, such as lobby days, briefings, and workshops focused on policy education and engagement.
  • Assists in developing educational materials that shed light on complex housing policies and their implications.
  • Assists in the coordination of data-driven policy reports and white papers on key issues.
  • Supports forums and town hall meetings to connect membership to their elected officials and relevant political issues.
  • Assists in the development of scorecards and voter guides on local and statewide issues.
  • Assists with coordination of member grassroots engagement on state issues including coordinating office visits and other advocacy activities.

General Administrative Duties

  • Assist with membership communication and database updates.
  • Maintains database of state and federal legislation, regulations, and policies impacting affordable housing development and related sectors
  • Works with Policy Manager to prepare regular updates for CCAH executive director, members, and other stakeholders.
  • Develops relationships with local, regional, state, and federal legislative staff in order to better facilitate access for CCAH.
  • Provide support for board meetings, including scheduling, agenda preparation, and minute-taking.
  • Maintain discretion and confidentiality in handling sensitive organizational information.
  • Other duties as assigned to support the smooth functioning of the organization.

Qualifications

  • Proven experience (3+ years) as an executive assistant or in a similar administrative role.
  • Strong organizational, communication, and critical thinking skills.
  • Experience in planning and supporting events or conferences.
  • Ability to manage multiple priorities and work independently in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with event registration platforms and CRM systems preferred.
  • Passion for affordable housing or nonprofit/association work is a plus.

Compensation & Work Format

This position has an annual salary range of $55,000 – $70,000. The successful candidate will be primarily in-office with some flexibility for a limited hybrid work schedule.
